It’s that time again - the festive season is fast approaching! Here are your top tips to make sure you and your team glide through year-end 2025 with no surprises.
🧾 1. Preview Your Payroll Early
💰 Prepay Christmas Week (If Needed)
If your hotel pre-pays staff before the holidays, you can do this from the week prior to Christmas week.
Before processing anything, make sure to preview your payroll:
Tip: Go to Payroll → Week Costs → Payroll Data → Preview Payroll File to review your Christmas week payroll in advance.
If you're pre-paying, download both the Timesheet Preview and Payroll File Preview and store them safely - you will need these to compare against the final week’s actual hours when you return.
When pre-paying, select Generate Payroll Export Preview (remember: it’s only a preview). This ensures the week is not marked as paid too early, keeping your records accurate for the final cut-off.

🏦 2. Plan Ahead for Bank Holidays
🎅 Christmas Day (25 Dec), 🎁 St. Stephen’s Day (26 Dec), and 🎉 New Year’s Day (1 Jan) are approaching.
- Forecast Bank Holiday Costs in Advance
While the Auto-Roster can only be run once the previous week is marked as paid (which means it cannot be used to plan bank holiday shifts far in advance), you can still estimate the cost impact ahead of time.
After you Freeze the Forecast, the system will show you the estimated payroll cost of each upcoming Bank Holiday, helping you plan staffing levels and budget requirements before the week begins. Use the 'Public Holiday Accruals Report' to view this.

- Create Public Holiday Shifts with Auto-Roster
Once the week prior is marked as paid, you can generate your Public Holiday shifts automatically using Auto-Roster. Run them in this order:
1️⃣ 25 December
2️⃣ 26 December
3️⃣ 1 January
- Pay Out Bank Holidays with Ease
When finalising payroll, the system makes it simple to pay the correct public holiday entitlements. Once the auto-roster is complete, all relevant entitlements will appear in your Payroll Data for quick verification and processing.

🕕 3. Double-Check Your Pay Multipliers
✨ For Christmas Eve, Christmas Day, St. Stephen’s Day, and New Year’s Eve, use rate multipliers like Time & a Half, Double, or Triple Pay directly in the Week Roster.
You’ll see a multiplier symbol beside the shift once applied, ensuring everyone’s paid correctly for festive work.
🌟 5. Set Future Pay Rates for 2026
Minimum wage increase?
Navigate to People → Payroll → Payrates, enter your new pay rates (Basic, Supervisor, Sunday, Holiday) for each employee with the 1st of January selected, and hit Save All.
You can edit as needed up to Wednesday, 31st December 2025.

📈 6. Run Your Final Holiday Report
Before cutover, generate your Final 2025 Holiday Balance Report via People → Data → Reports → Holiday.
Save this as your permanent record for 2025 - it’ll be useful for audits or payroll reconciliations later.
🏖️ 7. Cut Over Holiday Balances
Once your final 2025 payroll week (containing 1st January 2026) is marked as paid, you’ll see an option to Cut Over Holiday Balances.
Do this early in January to carry your team’s remaining 2025 holidays into 2026 accurately - you’ll see green ticks beside each employee once complete.
