How to use the auto roster tool during the Christmas period?

This process can only be carried out by someone who has HR Manager or Financial Controller access. 

PLEASE NOTE: It is not possible to run multiple auto rosters at one time. They must be run individually on a chronological basis. 

Scenario 1 - Christmas Holidays fall on a weekend 

Before proceeding, please ensure that the previous week has been marked PAID in Alkimii. 

  • In the Today's Roster screen, remove the Sign-Off for the 25th and 26th of December.
  • Navigate to Week Costs using the mega menu

  • From the headers along the top navigation bar, select Public Holidays 

  • Using the calendar function in the top left corner, select the week containing Christmas Day 
  • If the previous week has been marked as PAID, you will see a Preview button appear under Auto-Roster for the date of 25th December.  
  • Click the "Preview" button to see the Public Holiday accruals for each staff member. 

 

If you have not marked the previous week as PAID you will not be able to avail of the auto roster tool and will see the following warning

  • A pop-up will appear displaying the Public Holiday Accruals for each staff member. You will also see the shift length that they will be auto-rostered for.

  • Once you are happy with the Preview shifts, click the "AUTOROSTER" button at the bottom of the pop-up screen. 
  • Please allow for the auto-roster tool to run. 
  • Once it has been completed you will see a "RELOAD" button appear. This will show you what Public Holidays have been applied. 
  • Now you will need to complete the same step for the 26th of December. 
  • To complete your auto-roster for the 1st of January, you will need to ensure that the previous week containing the 25th & 26th of December has been marked as PAID before continuing. 
  • To continue, follow the same steps to run the auto-roster tool.

If you need to undo the auto roster, in the pop-up screen click UNDO

Scenario 2 - Christmas Holidays are split across weeks 

Before processing payroll for Christmas Week, you will need to make sure the 25th of December has the Sign-Off removed in the Today's Roster screen to allow for the auto-roster shifts to be applied. 

The week previous must be marked as PAID in Alkimii. 

  • Navigate to Week Costs using the mega menu

  • Along the top navigation bar, select Public Holidays 
  • Using the calendar function in the top left corner, select the week containing Christmas Day

  • If the previous week has been marked as PAID, you will see a Preview button appear under Auto-Roster for the date of 25th December.  
  • Click the "Preview" button to see the Public Holiday accruals for each staff member.

  • Please allow for the auto-roster tool to run, this may take some time so be patient. 
  • Once it has been completed you will see a "RELOAD" button appear. This will show you what Public Holidays have been applied.

Before you can complete the auto-roster for the 26th of December, you will need to complete the 25th of December in full and mark this week as PAID in Alkimii. 

  • Once the payroll for the 25th December has been closed out in Alkimii, head over to the "Todays Roster" screen, and remove the Sign-Off for the 26th Dec. 
  • Now follow the same process for the 26th of December, by navigating back to the week costs screen. Selecting the week containing the 26th December and open "Public Holidays". Click "Preview" and scroll down to the bottom of the pop up and select "AUTOROSTER". Leave this to run and once you see the "RELOAD" button appear you can view the applied autorostered shifts. 
  • Once you are happy with this you can proceed with the same steps for the 1st of January. 

If the 1st of January falls in a different week than the 26th of December, you will need to mark the week containing the 26th of December as PAID before you can run the auto-roster tool.
