Maintenance Tasks (Mobile)

Streamlining Task Review, Communication, and Resolution for Proactive and Reactive Maintenance

Effective task management lies at the heart of maintaining a smooth and efficient operational environment, especially on the go. With the mobile version of the Alkimiis Maintenance Feature, you're equipped with a powerful suite of tools right at your fingertips. Whether it's adding new maintenance tasks, reviewing detailed issue reports, assigning tasks to the appropriate team members, or marking issues as resolved, this feature is designed to enhance your maintenance processes from anywhere, at any time. 

This access is given on a permission basis, if you require access to the Maintenance Task on the mobile App, please contact us at hello@alkimii.com

  • Launch the Alkimii App 
  • Your default view is the home page. If you have your favourite tools set up, you can simply select "Maintenance Tasks" from your options.

  • Alternatively, navigate to "More" in the bottom navigation bar and click Maintenance Tasks from the option of Alkimii tools.

  • Your default view will be set to "Pending" issues, however, you can use the search bar and filter options to locate any pre-existing issues. These filters include assignees, location, priority, category and due date.

  • In this view, you can either log a task for the maintenance team or review and action an existing task that has been created either during proactive or reactive maintenance.

Log a Task

  • To add a new issue, click "Add a Task" a the bottom of your screen.

  • This will direct you to a pop-up where you can add all the necessary details to your task

    • Take a picture of the issue. You will be able to use the paintbrush icon in the top right corner to draw on the image. For example, circling the broken spotlight in the bathroom.
    • Create a Task title, make this relevant to the issue 
    • Add the specific location or locations
    • Select a category from the dropdown list

    Maintenance categories can be added or amended on the desktop, for more information on these categories, click here

      • Add an assignees, these users will receive a notification once the task has been created
      • If the task needs to be resolved before a certain date, add a due date 
      • Add a detailed description of the issue 
    • To add your task, click "Create Task" to save your entry

    Review and Action a MaintenanceTask 

    If you are an assignee and need to action the issue on behalf of the maintenance department, you can also complete it via the mobile App. 

    • Open the task from the list. You can use the search bar and filter options to locate the issue quickly.

    • Once located, click on the issue. 
    • You will be able to review the information as needed and update it accordingly. Please note that you will not be able to edit the location selected. To save any changes, make sure you select "update task" at the bottom of the screen.
    • To mark the issue complete, simply select the checkbox in the top right corner beside the bin icon. 

    • If you wish to leave any comments such as updates or how the issue was resolved, scroll to the bottom of the screen and type into the comment box. Click on the blue arrow to post the comment. Your colleagues will be able to interact with the comment using reactions or direct replies. 
    • If the issue was created by mistake, you can delete the task by clicking the bin icon in the top right corner.
