How to complete a Location Review using Proactive Maintenance on the Desktop?

Efficient Inspections and Task Reporting for a Smooth Operation

In the world of property management, ensuring that every room is in top-notch condition is essential for a seamless operation. But how can you make room reviews more efficient and productive? The answer lies in using maintenance checklists. With these handy tools, you can methodically inspect rooms, mark off checklist items, and flag any issues that need immediate attention from your maintenance team. This article is your comprehensive guide to streamlining room reviews through the use of maintenance checklists.

  • Using the mega menu, navigate to Maintenance 

  • Along the top, select Proactive Maintenance 
  • Here you will see a list of all proactive maintenance that can be performed within your site. To complete a review, simply hover over the area next to the progress bar under the "Actions" column and click on the "eye" icon.

  • In the proactive maintenance section, you'll find a handy list of locations that need regular checks. Right at the top, there's a progress bar showing how many locations you've already reviewed compared to the total number of rooms that need checking. Plus, you'll spot the creation date of the maintenance task list and whether it's still a draft or if it's been published.
  • Below you can filter by the status of the room review, there are 4 options to choose from. You can also use the search bar function if there a multiple rooms listed.

  • To perform a review, click on the location bubble. 

Keep the colour codes in mind when you are completing or reviewing a location

  • Within the location, you will also see a progress bar showing how many tasks you've already reviewed compared to the total number of tasks that need checking. The location will also be noted for your reference along with the category and the user who completed the tasks, if any.

  • If you wish to choose a different location to review, you can switch using the "Choose Location" dropdown menu 
  • You can export the review into a csv, view a full history log and copy the link to share quicker access

  • To mark a task or subtask complete simply click on the tick button.

TOP TIP: If there are subtasks that you wish to unselect you will need to mark each individually as ticking the parent task will mark them all complete 

  • Each task marked completed will have a time and date stamp for reference
  • To flag an issue with a task or subtask, click on the warning triangle icon 

  • Enter the details relating to the issue for your maintenance team to action. The more information provided the better. You can attach a photo of the issue if required. 


  • Click the "Save" button to create a maintenance task. Once saved this will appear under the "Maintenace Task" heading along the top of your screen. 
  • The task or subtask will now appear in red on the location review list to show that there is an issue pending here

  • To open the maintenance task to review, you can click on the warning triangle. If applicable, you can amend the description, add assignees or leave a comment if you need to follow up or communicate anything else to the assignee of this issue
