Creating and Managing Proactive Maintenance

Edit, Delete, Create, and Template Your Way to Maintenance Excellence

Efficient proactive maintenance management is at the core of keeping your site in top condition. In Alkimii, we offer you a robust suite of tools and features to make this task a breeze. Whether you need to edit, delete, create proactive maintenance checks from scratch, or utilize our time-saving templates, we've got you covered. This article serves as your comprehensive guide to mastering maintenance management within Alkimii Property.

  • Using the mega menu, navigate to "Maintenance" 

  • Navigate to "Proactive Maintenance" along the top 

Creating Proactive Maintenance Checks from Scratch 

  • Click "Add Proactive Maintenace" in the top corner

  • A pop-up will prompt you to give your checklist a title 
  • Select the relevant sites this checklist should be available in 
  • Select the Locations in your site  where this checklist is 
  • Select the frequency of this checklist. This will prompt a reset of the checklist based on your selection.

  • If your organisation has multiple sites, you can choose which sites you would like this checklist to be available in
  • You can assign specific locations in this site where the checklist will apply. If you have selected multiple sites, you will have access to all locations across all sites. 
  • There is an option to lock the checklists, meaning no one else can amend this checklist. We would not recommend locking a checklist unless completely necessary as you will be the only individual with editing rights. To lock a checklist, tick the checkbox

  • Click the "Save" button once you are satisfied with the entry 
  • Now you can start building out your maintenance tasks and subtasks, as you wish

  • To add a task, click the "Add" button in the middle of the box 
  • Enter your entry into the free text field 
  • You can assign a category, upload a reference, create subtask, enable allow n/a or delete the task using the actions to the right of the text

  • There is no limit to the number of subtasks you can add to your parent task, simply select the "+" icon.
  • To add a maintenance category, simply click on the tag icon to the right of the task and select the category from the dropdown 

The maintenance categories are configured within the app settings. If they require any amendments, you can add, edit or delete them within the app settings, if you have the permission assigned to you.  

  • The "Allow N/A" can be enabled, however we would advise users to be careful with this feature. Its sole purpose is to allow a task to be marked as not applicable when the task is not relevant to that site.

We often see this being the case for organisations that have standardised proactive maintenance reviews across all sites. If, for example, one site has 3 plant rooms but another only has 1 plant room, they would be able to mark the tasks for rooms 2 and 3 as N/A.  

  • If you wish to delete a task or subtask for any reason, you can do so by selecting the "bin" icon to the right. 
  • To save any changes, ensure that you click the "Save" button in the top right

  • Across from the task list is the settings panel.

  • Here you will be able to view the status of the template whether it's in draft mode or published.
  • You can see what sites this is currently available in. If you are an organisation that has access to multiple sites, you can have this checklist available in multiple sites to keep things consistent. 
  • You can amend the locations using the dropdown menu where this task list will apply. Again you have the ability to select multiple, especially if the tasks are related to all bedrooms in the site. You can select all within the dropdown menu using "Select all X" at the bottom.

  • To publish this proactive maintenance check, toggle on "Published" 

All checklists will remain as drafts until you enable the "Published" toggle on the right of your screen.
