How to add Shifts to the Week Roster? (V2)

Exploring Different Ways to Create Shifts in the Week Roster.

Creating shifts in your weekly roster has never been easier! There are now three simple methods to streamline the process. For efficiency, you can use two automated options with  shift presets, perfect for quickly adding commonly used shifts to your schedule. For those less frequent or unique requirements, you also have the flexibility to create shifts manually. This guide will walk you through all three methods, ensuring you can tailor your roster to suit any scenario with ease.

Drag & Drop Presets 

  • Within the week roster, use the department filter along the top to select the department you wish to roster into. 
  • Navigate to the right of the view, and select "Presets"

  • This will open your presets tab ready for you to drag and drop your configured presets into the roster. The default view will display for the department you selected first.
  • If you have selected mutliple departments you can move between the presets using the "Department" dropdown menu in the "Presets" tab.

If you have not filtered by a department before opening the presets tab, the default view will be blank and you will need to select the department from the dropdown menu in the preset tab. 

  • From the preset options, simply click on the one you wish to use and drag it across the roster to the relevant employee. Repeat this step for all shifts.

  • Always make sure to select "Save Shifts" in the top right so you dont lose any progress. 

🔥 PRO TIP: If an employee is scheduled to work a specific preset over multiple days, you can save time by dragging and duplicating the preset across those days.

  • Simply drag the preset from the right side of the shift across the desired range of days. For example, if the shift is worked on Monday, Wednesday, and Friday, you can drag it across the entire week, then remove it from Tuesday and Thursday as needed. To delete a shift, click the three vertical dots next to it and select Delete from the dropdown menu. 

 

 

Apply Preset 

  • Within the week roster, use the filter options to quickly locate the department or team member you wish to roster. 
  • There are two ways to Apply Presets in the Week Roster. 
Option 1: On the Roster View 
  • Hover over the day and team member you wish to roster. You will see two icons appear, you will want to select the second icon.

  • This will display a list of presets associated with the employees home department. You can scroll and select the preset you wish to apply.

Option 2: Within the manual creation window 
  • Hover over the day and team member you wish to roster. You will see two icons appear, you will want to select the first icon.

  • In the top left of the window, select "Apply Preset" 
  • Select from the dropdown menu and click "Save"

Manually create a shift 

  • Hover over the day and team member you wish to roster. You will see two icons appear, you will want to select the first icon. 

🌟 Helpful Hint: Double click on the day to open the shift creation window. 

  • Customise the shift start and end times, if this should repeat on another day within that week select from the options. 
  • The department will default to the employees home department, if they should be working within another department you can select from the dropdown menu. 
  • The default shift type will be "Normal", however you can choose another option from the dropdown menu.

  • You can apply any additional rates that should apply to the shift. To enable this click on the rate option (supervisor or self check). For more information about the "Additional Rate" scenarios, click here
  • If the employee has shift roles (qualifications) enabled within their staff profile these options will also be available for selection.
  • You can enter a note into the free text field, if any context is required. 

Please be advised that depending on your sites configuration with Alkimii, these notes may be visible to the employee. We advise checking with your senior team to confirm whether you have opted to make these notes public or private.
