Shift Warnings in the Roster

When creating your roster in Alkimii, the system is designed to automatically flag warnings and errors if certain rules or conditions are breached. This ensures compliance with workforce regulations and helps maintain efficient scheduling. 

 

  • If the shifts appear in red these are shifts with errors , you will not be able to save the shift.
  • If they appear in orange these are shifts with warnings, which you can opt to ignore and save.

You can click on the shift within the roster to see more reason why the warning or error has appeared. These have been listed below with further explanation.

 

Shift Errors (Red):

  • Shift Cannot Exceed 16 Hours: This reads if a user has a shift that is longer than 16 hours. 
  • User has no pay rate: User has no pay rate inputted in their profile to be effective from when the shift is set to start (e.g. someone’s start date is updated to be earlier but they have not backdated a pay rate to this date). Click here to see how to backdate a payrate
  • Shift before user's start date: You cannot roster a user for a shift that is before their start date. 
  • Shift end time is before shift start: Shift's selected end time is before its selected start time on the same date.
  • Visa Expired on (insert date): This reads information from the staff profile and only applies to user’s who require a visa

⚠️ This can be bypassed if you do not have the visa expiry restriction enabled in your sites configuration, meaning your site allows expired Visas. 

  • Employees VISA information is incomplete: This reads information from the staff profile and only applies to user’s who require a visa

Shift Warnings (Orange): 

  • 11 Hour Rest Period: This reads if a user has less than 11 hours between their previous shift vs the shift you are rostering them for now. 
  • Payroll ID Unset: This reads from the staff profile section if the payroll ID is blank or not. Click here to see where to add the payroll ID. 
  • User has exceeded their contracted hours: User is rostered for more hours than is in their contract, this is espeically important for any restricted hour contracts. 
  • SSP Maximum Days is Exceeded: this is based on the maximum days have been set up during your sites configuration.
