Can Public Holiday accruals go into minus figures? 

This article will show you how and why your Public Holiday balances went a minus balance.

Yes, your Public Holiday accrual balance can fall into minus figures. 

If an employee is in a minus balance and accrues for the Public Holiday, the system will look to balance out their negative balance. The system will only roster an employee for the public holiday if they have a current balance available to them. If an employee is in a minus figure they will not be rostered as the system will not allow them to go further into a minus.

Example:

If an employee is in -8 and accrues 5 hours for the public holiday. They will be left with a -3 balance. The 5 hours will go towards balancing out their total public holiday hours. As they are still in a minus they will not be rostered, as this would push them further into a minus.

The public holiday does not accrue on Alkimii until the day of the public holiday. Therefore, the final accruals are not live on the system prior to this day. If you're rostering yourself on the system before the public holiday has occurred, you technically haven't accrued the public holiday as of yet so your current balance may display in a minus figure. Once the day hits the balances re-adjust based on your accrual. 


Full-Time Contracts 

  1. You are a new hire on a full-time contract and you have been manually rostered in for the public holiday before it has occurred. As you technically haven't accrued the public holiday as of yet, your current balance may display in a minus figure in your bank holiday balance. 

    Example:
    -8 hours (40 hours full-time contract) 
    -7.8 hours (39 hours full-time contract) 

    When the day of the Public Holiday occurs the system will calculate the Public Holiday accrual and readjust the balance. 

    Example: 
    -8 hours will become 0 as the accruals are based on a full-time 40 hours contract and they will be paid 8 hours for their public holiday. 
  2. If you have been rostered for more hours than you earned.

    Example:

    If you are an employee on a full-time 39-hour contract, your accrual for the Public Holiday would be 7.8 hours.

    If you have been manually rostered in for an 8-hour public holiday shift, you will be paid out for the 8-hour shift. However, your public holiday balance will show as -0.2 hours in your staff profile as you have taken more than you have earned.

 

Part-Time Contracts

As part-time contracts accrue public holidays based on their contracted hours they will be auto-rostered for 1/5 of these hours. A part-timer on a 20-hour contract will accrue 4 hours for the public holiday. 

  • If you have been rostered for more hours than you earned.

Example: 

If you are an employee on a part-time 20-hour contract, your accrual for the Public Holiday would be 4 hours. 

If your part-time employee normally works a 6-hour shift and you rostered them for a 6-hour shift, they will be paid for this. However, as their contracted hours are only 20 hours, their public holiday balance will show as -2 hours in their staff profile as they are only entitled to 4 hours based on their contracted hours.

 

Casuals, Part-time variable or Full-time Variable Contracts

Casual, part-time variable and full-time variable contracts accrue public holidays based on the number of hours worked. They must have worked 40 hours or more in the last 5 weeks to be entitled to the accrual. If they have worked 40+ hours, the system will accrue the hours based on the 13- week rule.   • If you have been rostered for more hours than you earned.

Example

You have manually rostered your employee for a 4-hour shift on the Public Holiday. However, your employee has only accrued 2.78 hours over the last 13 weeks according to the 13-week rule. Therefore, their Public holiday balance will show as -2.22 hours in their staff profile as they have taken more than they have earned. 

*** Please be advised that if your hotel config was set up to include "Real Worked Week", then a new starter who may not have worked 13 weeks can still be entitled to accrue a Public Holiday, however, the calculation will be done based on the number of weeks they have actually worked ***

If you want your part-time employee to accrue based on the hours they work, you can either increase their contracted hours or change them to a casual contract. 

Casual, part-time and full-time variable employees accrue public holiday balances based on the hours they have worked.
