Todays Roster on Mobile

The todays roster on mobile mirrors the current actions you can perform on the desktop for all our users on the go! Review your department for the previous day , make any adjustments and sign off - quick and easy! 

  • Open the mobile app, and navigate to "Todays Roster" under the "More Tools".  The view will default to the current week, on the current day for your site. 

❗️Please be advised that you will only be able to see the departments you have access to. 

If you do not see this tool available, you may not have this permission enabled on your profile. Please contact our customer success team at hello@alkimii.com for support. 

     

    Search & Filter Options 

    Like other areas of the app, you have access to a quick search bar and filters to help you locate what you need.

    • On the default view , you have the calendar filter, the on duty filter which allows you to search for shifts rostered during the time period, and the site filter. 
    • If you wish to filter by any of these options, ensure that you click "Apply Filter" to enable it. 
    • To move between days in the week, simply click on them along the top banner.

    • Within the department view, you can filter again by calendar; time period and shift status. Followed by a full list of employees rostered for the day. 

    💡 Quick Tip: Use the shift status filter to quickly locate not clocked; late or no break shifts which will require action before you can sign off the day. 

     

     

    Adjustment within the Todays Roster on Mobile 

    Just like the desktop version you will be able to adjust your shifts accordingly.  

    • There are a number of quick swipe actions available within the department view which include clock to shift;  edit clocks and delete shifts.  Locate the employee from the list and swipe left to see the quick actions.

    Adding a Shift 

    Simialrly to the desktop version, you have the ability to create shifts in the Todays Roster on mobile. We understand that sometimes occasions outside of our control happen and may require additional hands on deck so this faciliates the need to create shifts ad hoc. 

    • Navigate to the todays roster view and select the department. 
    • Tap the blue "Add Shift" button at the bottom of the screen.
    • The shift creation window will open, allowing you to customise the shift details.
    • The department will default to the department you are creating a shift for. 
    • Select the team member from the dropdown menu
    • Choose the shift type from the list - most commonly set to normal 
    • Set the required times (the date auto-populates based on the current day).
    • Select a shift colour for better shift visiblity. 
    • Apply any shift roles or shift rates that may apply to this team member. 
    • Add a note, for clarification if required. 
    • Click "Save Shift" to create it in the Todays Roster.

    Departmental Daily Sign off

    As a best practice, we recommend that all heads of department complete their daily department sign off each morning. This consists of 3 crucial steps which can take 3 minutes in the morning and evening. 

    Step 1: Open Todays Roster 
    • Within the department view on the Today Rosters on mobile, you will see a full list of all employees. 

    Step 2: Scan shifts for the previous day. 

    • Scan through the list of shifts and check for any anomalies. 
    • Make any necessay adjustments and action shifts - editing rosters hours; late shifts; unlinked punches; unclocked shifts. 

    Step 3: Sign Off 

    • Scroll to the bottom of the list until you see "Sign off Day"

    Overall Daily Sign off 

    As a best practice, we recommend that all heads of department complete their daily department sign off each morning. This consists of 3 crucial steps which can take 3 minutes in the morning and evening. 

    Step 1: Open Todays Roster 
    • Here, you can quickly monitor departments sign off per day - red indicates no sign off, green indicates a sign off. 

    Step 2: Ensure all department have signed off for the week. 

    • If a departments have not been signed off successfully, you will need to close these before proceeding with the next steps.  
    • As this is usually the responsibility of your head of department, please follow up with them to action this promptly.  

    Step 3: Sign Off 

    • Scroll to the bottom of the list until you see "Sign off Day"

    ⚠️ Please Note: Sign Off locks any shift on that day. Only the HR Manager, GM and Accountant access can remove overall sign-off so that changes can be made. 

    • If you need to Undo the Overall Daily Sign Off , you can simply locate the date using the calendar filter and click "Remove Sign Off". This will unlock any shifts for that day so that changes can be made to shifts.
