Publish your roster by department (Beta)

⚠️ This feature is in beta. Beta means it is new and we are still testing it. It is only switched on for specific customers. If you cannot see it, it is likely that you have not been enroled in the private beta release.

What is department publishing?

Usually, you publish the full roster for all departments together, on a set day each week.

With department publishing, each department can publish its own roster when it is ready. You do not need to wait for the other departments.

For example, a hotel’s management team works Monday to Friday, 9:00 to 17:30, every week. Their hours do not change with how busy the hotel is. Because their roster is the same each week, it can be published early.

Before you start

  1. Enter the forecast for your department for the week.
  2. Plan your shifts so that your payroll percentage stays on target. You can click Analytics at the top of the roster to check your numbers.

Step 1: Open the roster for your department

  1. Go to the Roster page.
  2. At the top of the page, click Department and choose your department.
  3. Check the dates at the top left (for example, Nov 23 – 29, 2026). Use the left and right arrows to move to the week you need.

Step 2: Add shifts

  1. Find the team member in the list.
  2. Click the + in the box for the day you want.
  3. Enter the shift details.

New shifts that are not yet saved have a dashed border and a yellow time.

💡 Tip: Use Presets or AI Roster to add shifts you use often, so you can roster faster.

Step 3: Save your shifts

  1. Click the blue Save shifts button at the top right.
  2. The number on the button shows how many shifts are not saved yet. When all shifts are saved, the number goes away and the save button will fade.

Step 4: Publish your department roster

  1. Beside your department name, click the 3 dots.
  2. From the menu, select "Publish department"
  3. Turn on the toggle to confirm publishing the roster. Your team members will be notified once toggled. on.
  4. Your department roster is now published.

Step 5: Check your roster in the Publish monitor

  1. Click Actions at the top right of the roster.
  2. Select Publish monitor.
  3. A window opens. At the top, you will see the week and three columns:
Published: a blue tick means the roster is published.
Frozen: a blue tick means the forecast is frozen.
Paid: shows if the week has been paid.
  4. Below this, you will see a list of departments. For each department, you can see who published the roster and the date and time.

💡Tip: In the Publish monitor, dates show the month first. For example, 10/8/2026 means 8 October 2026.

Use the arrows at the top of the window to look at other weeks. Click the X to close the window.

Step 6: Freeze the forecast

When you freeze the forecast as usual, you will see the same information. You will see which departments are published, who published each one, and when.

Unpublish all

At the bottom of the Publish monitor, there is an Unpublish all button. This unpublishes the roster for every department for that week, not only your department. Only use it if you are sure.
