Linking NFC Tags to Checklist and Praoctive Maintenance (Beta)

Alkimii allows you to link one or more checklist tasks to an NFC tag using your mobile device.

Once your checklist or proactive maintenance has been created and published on Alkimii, you will be able to assign an NFC tag using your mobile. The NFC tag can be scanned once you have completed the checklist item. Before assigning your tags, place them in areas associated with your checklist tasks.  


 

Launch the Alkimii mobile app 

If you have already set up your favourite tools, you can select "Checklists" or "Proactive Maintenance" from your favourites.  For help adding or editing your favourite tools, click here!

Alternatively, navigate to "More" on the bottom right of the navigation bar. From the tools, click "Checklists" or "Proactive Maintenance" 

Locate the checklist containing the task or Room you would like to link the NFC tag to using the filter options or the search bar. Your default view will be all checklists for your site. 

For example, if you wish to locate the checklists due today, select the "Due Date" and choose Due Today from the dropdown options. 

Once you have located the checklist or Proactive Maintenance you wish to action, click on it. 

 

Linking one Checklist Task to an NFC Tag 

Within the Checklist, scroll down to the task items. Locate the task you would like to link to the NFC tag. 

Please be advised that NFC tags can only be assigned to a parent task rather than individual sub-tasks in your checklist. 

Go to "Link NFC tag" and tap the icon to the right of this. You will be prompted to scan the tag to link to the task.  

Go over to the NFC tag that has been placed on the wall.  

  • Scanning with an iPhone:  Place the top of your device against the tag until the notification confirms you have linked the tag. 
  • Scanning with an Android device: Place the middle of your device against the tag until the notification confirms you have linked the tag. 

You will be informed that the tag has now been linked to this task. Once linked, when you scan the NFC tag, a pop-up menu will appear showing all items linked to the tag. From the menu, you can select the items you want to open to mark complete or to log an issue.

Linking one NFC Tag to a Room in Proactive Maintenance

Within the Proactive Maintenance Checklist view, select the room. You will see the option to "Link NFC tag". 

You will be prompted to scan the tag to link to the task.  Go over to the NFC tag that has been placed on the wall.

  • Scanning with an iPhone:  Place the top of your device against the tag until the notification confirms you have linked the tag. 
  • Scanning with an Android device: Place the middle of your device against the tag until the notification confirms you have linked the tag. 

Once linked, when you scan the NFC tag, you will be prompted to chose the maintenance checklist to review. From here you can mark off the list of tasks and subtasks associated with this room by ticking the checkbox.

Linking Multiple Tasks/Rooms to One NFC Tag

In some cases, you may have a few checklists that require you to check the same item.

For example:

  • A room has a Morning/Afternoon/Evening cleaning checklist.
  • An area has a monthly and yearly maintenance checklist
  • Space has 3 aircon units, a bed, a table, and 3 doors that are linked to different checklists.

You would place 1 NFC tag in the room and link all tasks. Once scanned, you will be able to choose the checklist or maintenance items to complete. 

Go to "Link NFC tag" and tap the icon to the right of this. You will be prompted to scan the tag to link to the task.  

Go over to the NFC tag that has been placed on the wall.  

  • Scanning with an iPhone:  Place the top of your device against the tag until the notification confirms you have linked the tag. 
  • Scanning with an Android device: Place the middle of your device against the tag until the notification confirms you have linked the tag. 

You will be informed that the tag has now been linked to this task. Now, repeat this process for your next checklist and associated task/s. 

Once linked, when you scan the NFC tag, a pop-up menu will appear showing all checklists or categories (if linked to a proactive maintenance checklist) linked to the tag. From the menu, you can select the one you want to open to review and mark the relevant task complete or to log an issue.
