How to add Shift Notes on Mobile?

As professionals, we understand the importance of efficient communication and organised workflows, especially when it comes to managing shifts. In this article, we will walk you through the simple yet powerful process of creating and adding shift notes on the Alkimii app. Discover how personalised Shift Notes can be the key to smoother operations, improved collaboration, and an overall more productive work environment. 

  • Open the Alkimii App on your mobile, your default view is the home page. If you have your favourite tools set up, you can select "Shift Notes" from your options.

  • Alternatively, navigate to "More" in the bottom navigation bar and click Shift Notes from the options of Alkimii tools.

Search & Filter 

  • Your view will default to the site you are in and the current day. 
  • The filter options appear below the search bar function and range from date, tags, site, department, created by, room and templates. You can use the dropdown menus to select the filters you wish to apply. 
  • Once selected, you will either need to select "ok" or simply swipe down on the pop-up.

Create a Shift Note

  • To add a Shift Note, click "Add a Shift Note" at the bottom of the screen. 
  • You will be directed to your shift note-building page. 
  • If you have shift note templates relating to your department or role, you can select the template from the dropdown list accordingly. Or leave this unselected and manually create a personalised shift note. 
  • To colour-code your note, select the preferred shade from the dropdown menu 
  • The following fields will auto-populate based on your preset information: 
    • Date & Time
    • Department 
  • Choose your category. A pop-up will prompt you to select a category
  •  Add a location, if applicable. A pop-up will prompt you to select a Room number
  • Add a tag, if applicable. A pop-up will prompt you to select from your existing list of tags. 
  • You can specify the recipient you would like to notify with this shift note, either by role or individual, to ensure the right information reaches the right people. Use the drop-down menus to select accordingly. 
  • If a template has not been selected, you will see "Content". This is a free text field where you can enter the content of your shift note to communicate with the recipients. 
    • If a template has been applied, it will appear below Tags in the App. Fill in the list of questions in the template. Templates can be edited at any time through App Settings on the desktop once you have this permission on your profile. 
    • If you need to add any attachments such as images or documents, you can do so by clicking on "Attachments" and choosing the items from your files on your mobile.

    • To save this Shift Note to the Dashboard, click "Create Shift Note". This may appear in grey if all the mandatory information has not been entered. Any mandatory questions will be marked with an asterisk for easier visibility.
