AI Roster tool (Beta) 

Smarter Scheduling with AI: Draft Rosters in Seconds, Not Hours

Alkimii’s AI Rostering tool takes the guesswork out of creating weekly or monthly rosters by using machine learning to analyse past patterns, staffing needs, and business goals. With just a few clicks, you can generate an ideal roster tailored to your priorities and forecast. Choose from three options:

  • Best Pay % for cost-efficiency
  • Most Efficient for productivity and coverage
  • Same as Last Year for replicating proven schedules 

Once the roster is generated, you’ll have the chance to review, tweak if needed, and then publish it for your team. It’s faster, fairer rostering that flexes with your business.

⚠️ Please note: 

Alkimii will use historical data to analyse past patterns, you will need at least 6 months worth of data to generate a roster. Similarly this works for new departments, you may not be able to use this tool until there is enough data available. 

 

How to use the AI Roster Tool ? 

In your roster view, locate the department you wish to roster for. In the top right corner opposite the department name, you will see a wand icon this is your AI Roster tool. 

  • Click on the wand icon to begin.
  • A pop up window will prompt you to select the way in which you would like to roster for the period of time (weekly, fortnightly, monthly)

How does each option work? 

  • Based on the best-performing roster: This option will focus on your best performing pay % and roster accordingly. 
  • Based on the most efficient roster: This option will focus on the most efficient roster 
  • Based on a roster similar to last year: The system will review the rosters input for the department this time last year and generate a similar draft for this year. 
  • Click "Generate" to begin the process of drafting the roster, the system will inform you once ready.
  • Click "Close" to begin your review of the drafted roster. 
  • The standard orange and red shift warnings will still appear on the draft roster for you to action.

⚠️ Please be advised that "generate" will not save or publish any shifts without human intervetion. You will have the option to review the shifts to ensure you are happy with the roster before you save anything. 

  • If for any reason the shifts couldnt be assigned during the process, they will appear at the top of the roster view for you to assign out manually.

How to assign a shift? 

  • Click on the shift bubble to assign a user. 
  • Use the dropdown menu to select an employee. Please keep in mind depending on the shift set up, whether it includes additional rates or shift roles, you may only be able to assign specific individuals.

How to delete a draft shift? 

  • Click on the 3 vertical dots to the right of the orange shift within the roster view and click the "delete" if this is the only shift you wish to remove. Alternatively, you can still bulk delete shifts as normal. 
  • To remove all drafted shifts, click on the "Action" button in the top right and scroll down to clear unsaved shifts to remove them all. This avoids deleting any auto approved leave for the period. 

🚨 Warning:  

Always review the drafted roster carefully before clicking Save. If you’ve selected the wrong AI Rostering option, you can still use the Clear Unsaved Shifts button to remove the draft and start over. However, once shifts are saved, they must be manually bulk deleted from the system before you can generate a new roster.

  • Once satisifed with the draft roster, click "Save" as normal. This is now ready to publish for your teams.
