Working patterns in Alkimii
This article will provide all the information you will need to know about Working Patterns in Alkimii, from set-up to visibility in the roster
What are working Patterns in Alkimii?
Working Patterns allow you to define regular, expected shift pattenrs for individual team members. Whether someone works every Monday to Thursday, alternate weekends, or part-time across specific days, you can now reflect those patterns directly in the system.
Once a working pattern is set for an employee, and a shift is added outside of their assigned pattern, you'll receive a clear warning, helping you maintain scheduling consistency and avoid conflicts.
This feature is particularly useful for:
-
Ensuring compliance with agreed contracts or availability
-
Supporting flexible or part-time arrangements
-
Reducing rota errors and last-minute changes
Setting up working patterns helps you roster smarter – with fewer surprises and more transparency for your team.
How to add working Patterns?
You can set up working patterns within the Staff Profiles of individual employees. Firstly locate the employee you wish to set up.
- Using the menu search bar navigate to "Staff Profiles" and locate the employee from the list
- In the profile, select "Employement" and then "Contract" from the left hand menu.

In this builder, you can configure the working pattern set up for this employee.
- Select the days of the week in "Repeats on". You will notice that upon selecting the days of the week the calculations below the line will start to populate the "hours per day". This is dependent on the "Standard Contracted Hours" that have been entered 2 boxes above.
💡 You don't have to select the date range if it's not applicable. However, when rostering this employee you will see a warning appear if you roster over the contracted hours.
- Tick the checkbox for either always or set period depending on the situation.

How will this warning look in the Roster?
If a shift is added to a day outside of this employee working pattern, you will receive an orange warning in the roster which you will need to override if you want to save this shift as it is. Otherwise, you can delete the shift and roster per the working pattern schedule.
How does this accrue for holiday balances?
Leave balances will now accrue based on the number of hours or days set in an employee’s working pattern. When a leave request is submitted, the system will use this pattern to calculate the correct amount of time to deduct—ensuring accuracy.
For example:
If an employee has a working pattern set up for 10 hours on a Monday and 5 hours on a Wednesday, and they request Wednesday off, the leave request will automatically populate with 5 paid hours, based on their working pattern.
