How to create Packages?

Alkimii Events have made it possible to create your Packages and allocate the correct the Revenue Streams.

  • Navigate to the App Settings using the menu search bar. 
  • From here, either scroll down to "Events >Package" or use the search bar at the top to search for "Package".

It is important to have all Add On's created, as these will be automatically generated when a package is created and applied. For help with Add On's, click HERE.

When you click to view your Packages you will see: 

  • A list of Package Names
  • Notes
  • Single Rate
  • Inclusive (An overall price for the customer)

 

How to create the Event Package? 

To create a new Package, click " Add Package " in the top right corner of this view. 

  • A pop-up will prompt you to enter the Package details. 

  • Give the package a name. 

  • Add notes, these notes will appear on the Function Sheet. 

  • The packages will always default to Inclusive which will give an overall price for the customer. 

  • Alternatively, if it is Single Rate, tick the box. 

  • Save. 

New Package

For Day Delegate Rate (DDR) Packages, where you do not want customers to see a breakdown of the costs of the event, you can tick 'Inclusive'. This will only show one rate on the Function Sheets. 

 

 

 

How to build out the Event Package with key details? 

Once you have saved the package, you will be directed to the building page. Here you can build your generic package. 

 

  • To add Room Hire, click on the plus on the bottom left-hand corner

It is not compulsory to pick locations on packages as the Locations can be different each time you apply the package. 

  • If this package is not location specific, leave as "No Location"

  • If this package has no specific Required Setup, leave as "No Setup".
  • If the package will always have the same set up, you can select from the dropdown to always apply for this package. 
    Example: Banquet style

The setup will be displayed on the Function Sheets. 

  • Enter the price
  • You can add a note if you wish.
  • If the Room Hire is per guest, make sure this is ticked.  
  • If the Room Hire is VAT Exempt, make sure this is ticked.

  • To add Detail Charges, click on the plus on the bottom left-hand corner

  • Choose the Add On you would like to attach to your Package, if applicable.

  • Select your Start & End times (24 hour) from the dropdown list. 
  • Set Quantity as 1. 
  • Set Price.
  • Add any Notes. 
  • Save.

We advise setting the Quantity to 1 as this can be changed within the Booking and makes it easier for you to use the Event Package as each Quantity will be different. 

  • There is no limit to the amount of Add ons that can be added to the Events Package.

     

    • To add Notes, click on the plus on the bottom left-hand corner.

    • Note Types refers to the Note Titles already set up in your organisation. To view, add or amend these Types click HERE
    • Select Type 
    • Enter your "Notes", specific to the package. 
    • Each time the Package is applied this Note Type will appear. 
    • You have the ability to add multiple notes.

    • Once all the relevant information is added, you can proceed to save your package.
