Empowering Fairness: Step-by-Step Instructions for Documenting and Managing Disciplinary Procdures with Precision

Maintaining a fair, accountable, and transparent workplace requires efficient management of disciplinary actions. This guide will equip you with the knowledge to expertly document incidents, handle appeals, and set up alerts using Alkimii. By accurately recording disciplinary actions, you promote fairness and due process within your organisation, fostering a culture of accountability. Additionally, configuring alerts allows for a proactive approach to managing employee relations, ensuring compliance and swift responsiveness to key milestones. With these tools, you can uphold a healthy and equitable workplace environment.

 

Record a Disciplinary 

  • Within the team members profile, navigate to HR > Disciplianaries.  
  • In the top right corner, select "Add disciplinary" 
  • A pop up will prompt you to enter the necessary details. You will notice some of the fields have an aterisks, these are mandatory so this cannot be saved until this information has been added. 
  • The offence type can be selected from the dropdown menu. 
  • The site will autopopulate based on you Alkimii Login. 
  • The status will autopopulate to "Active" upon creation. However, you are able to amend this to "Expired" if required. 
  • Set the date of occurence from the calendar function.
  • You will be able to select the relevant witnesses using the drop down menu of team members.. You can select multiple witnesses from this dropdown. 
  • There is also a free text field to add any other witnesses, for example, an employee from a different site who has been cross rostered to work in your site during a period of cover.
  • The Account of the Incident can be entered in a free text box. We advise adding as much information as possible here to ensure no information has been overlooked.
  • You can upload any documentation, images, audio or video footage by dragging and dropping into the upload box. Alternatively, you can upload the file from the files on your device. 
  • The appeal officers can also be selected from the dropdown menu of team members. You can select multiple officers from this dropdown.

  • Select the date of outcome using the calendar function. This date will appear under the "Expiries At" column within the disciplinary list view. During this time period, an appeal can be logged. 
  • Followed by the disciplinary outcome itself from the dropdown menu of options. 
  • Click "Save" to create this record. This disciplinary record will now appear in the team member profile under the "Disciplinary" section. 


 

 

Log a Disciplinary Appeal 

  • Within the team members profile, navigate to HR > Disciplianaries.  
  • Locate the item you wish to add an appeal for and under the actions column to the right of the item, select the speech bubble to log the appeal. 
  • A pop up will prompt you to enter the necessary details. You will notice some of the fields have an aterisks, these are mandatory so this cannot be saved until this information has been added. 
  • The Grounds for Appeal can be entered in a free text box. We advise adding as much information as possible here to ensure no information has been overlooked.
  • You will be able to select the relevant witnesses using the drop down menu of team members.. You can select multiple witnesses from this dropdown. 
  • There is also a free text field to add any other witnesses, for example, an employee from a different site who has been cross rostered to work in your site during a period of cover.

  • The appeal officers can also be selected from the dropdown menu of team members. You can select multiple officers from this dropdown.
  • Select the appeal outcome from the dropdown menu. If the disciplinary is upheld or you select performance improvement plan, no further fields will need to be added. However, if the disciplinary is changed, then you will need to select a new disciplinary outcome. 
  • You will notice that the "Appealed" column will now display the date of the appeal. If you select the disciplinary you will see both the disciplinary and appeal records can be viewed within the one modal. 

 

Enable Disciplinary Notifications 

  • Login to Alkimii on the Desktop. Navigate to the profile picture on the top right-hand corner of your screen and click on it. 
  • Select "Settings" from the dropdown menu. 
  • From the notifications panel on the left, click on the "Notifications" dropdown menu and select the "People" header. 

Depending on your access level and permission within Alkimii, you may see different options to toggle on and off. If you need Disciplinaries Expiration notifications, please contact our customer success team at hello@alkimii.com

  • Here you will see a list of notifications that can be activated and deactivated based on your preference. 
  • To enable the Disciplinary notification, ensure this item is toggled on
  • You will see a pop-up when this has been successfully enabled.
