How to navigate the HR Queue in HR Automation?

To access HR Automation, navigate to the Menu and use the search bar.

Your default view will be the "HR Queue" with a list of all packs with the status of "Approval Required". 

 

Filters

In this view, you will be able to filter the list to locate specific packs using the following options:

  • Site: If you have access to multiple sites, you can filter by a specific one. 
  • Show Deleted: This will filter by any requests which have been soft deleted
  • Show Leavers: This will filter by any requests "awaiting reponse" by a leavered employee who is no longer with your site. 
  • With flagged Answers: Any pack that contains key questions that may require extra attention will appear with flagged answers.
  • User: A dropdown list of all team members in your site 
  • Requested After: Calendar with date picker
  • Request Status:  "Awaiting Response", "Required Approval", "Approved"
  • Request Type: Filter by the request type whether its a "Profile Change"; "Add on Pack", "Starter Pack" or  "Leaver Pack" 
  • Packs:  You can filter by specific pack names, for example, Full Time Starter Pack. 

 

     

    Request Status & Actions 

    • The actions available to you will depend on the status of the pack. 
    • If your pack is "Awaiting Response" or "Approved" you will see the option to view the pack itself and monitor the pack history, chat and soft delete.

    • If your pack is "Approval Required", you will see an option to mark the pack as approved, view history, chat and soft delete.

    • To view  the History log, to review and monitor the status of the pack click on the clock icon. It will keep track of when the pack was sent, opened, viewed, signed and completed.
    • Chat with "Employee"- this allows you to open a direct chat link with the employee should you need to discuss or follow up with your employee. 
    • To Delete a request from the HR Queue, click the bin icon. This allows you to soft delete a pack which may no longer be required or that you may have sent out in error. 

    If you delete a pack, you will still be able to see the history associated with the pack under the "Show Deleted" filter. 

     

     

     

    Employee Updates their Personal Details /Bank Details/ Profile Picture 

    If a team member decides to update their personal, bank details or profile picture this will come through on the HR Queue for you to review and approve as a "Profile Change". 

    • Navigate the HR Queue, and locate the team member from the list. You can filter by Request Type > Profile Change to speed up the process. 
    • Once located, click on the tick under the actions column 
    • If you are happy with the update select "Review" to approve the change, in the bottom right corner.

    Resend Pack Notifications 

    Alkimii will allow you to send a follow-up notification for any incomplete packs that are awaiting a response for a specific period. 

    • On the top right, select "Resend pack notifications" 
    • Using the date picker, select the period you wish to follow up. You can choose from intervals or by selecting the dates within the calendar function. 
    • Click "Send Notification" once you're satisfied with the entry.

    • This will send a notification to any employees who have incomplete packs pending to remind them to complete their packs. 

     

    Usage Report 

    This report will provide you with a breakdown of usage under the following headings 

    • Name
    • Department
    • Invited to MyAlkimii 
    • Created MyAlkimii account 
    • Messages sent 
    • Groups 
    • Profile Request Changes 
    • Leave Requests 
    • Pack Sent 
    • Last seen on Mobile
