How to schedule a Check In?

Create a Check In form manually or apply pre-configured templates to streamline your Check Ins process.

  • Navigate to Check Ins from the menu. The "Check In Queue" will be your default view. 
  • You have two ways to schedule a Check-In:

    • Option 1: Click "Create Check-In" in the top-right corner of the Check-In Queue.
    • Option 2: In the "Schedule Check-In" view, find the employee you wish to schedule and click the calendar icon in the Actions column.
  • You will be redirected to a pop-up where you can build and/or customise the form with questions, goals and core competencies. 

Schedule using Templates 

  • You will notice a dropdown top left of the pop-up "Apply Template", where you can select pre-configured templates which will include set questions, goals and competencies.

⚠️ Please Note: We advise creating templates for your most common Check-Ins to save you time. 

Schedule Manually 

  • Add a Title to your Check In Form - this could be Job Chat or Wellbeing Check
  • The remainder of the steps will be the same across both methods.

  • The appraiser field will auto-populate to either the person creating the "Check In"or the employees Report To contact if you have opted to schedule a check in via the calendar icon. You can quickly change this by clicking on the current name and selecting the new name from the dropdown menu
  • You can set the "Stage" to send the check in after a period of time, if appliable 
  • Add the employee who will be receiving the "Check In" form 
    • You can select the date and time of the check-in 
    • If this check-in is being carried out remotely, you can also add a meeting URL, if applicable

  • Next you will build the check-in form content. If you have opted to use a template this form will populate the questions, goals and core competencies which have been pre-configured. However, both methods will allow you to add more to the content. 
  • To add questions, click "Add Question" and manually type the questions you want the employee to answer.
  • Select the answer type for your question from the dropdown menu. 

  • Next, you will need to create the goals for the employee. The employee will be able to select either "achieved" or "not achieved" on each of the goals entered. 
  • Lastly, you will need to add the core competencies where the employee will be able to respond using the competency scale.
⚠️ Please Note: Depending on your organsiation set up, this scale may differ slightly to suit your business needs. 
  • The core competencies have been pre-configured in the "App Settings" and can be added to the form using the dropdown menu
  • Once you have finalised the check-in form, click save in the bottom right
  • The employee will receive a notification on Alkimii to inform them of the check-in and that the form is pending their action.
