What reports and screens can I use to track clock and shift changes in Alkimii?
Alkimii has several reports and screens for tracking clock-in/out data and shift changes. Each one shows something different, so here's a quick guide to help you pick the right one:
- Clock Audit — shows a detailed log of changes made to clock in and clock out times. Use this to see visibility of any changes made to clock in and clock out times, so you can see what was edited and when.
- Shift Audit — shows a breakdown of changes made to rostered shifts, including deleted shifts. Use this to see visibility of any changes made to rostered shifts, so you can see what was edited, added or removed.
- Lateness — flags late arrivals. Use this to identify employees who clocked in late and quantify lateness contributions to variance.
- Shifts screen — shows all rostered shifts, clocked times and variances, filterable by dates and exportable to CSV. Use this to compare rostered shifts against actual clocked times to see where variances occurred, and to export the data for reporting or payroll purposes.
- Today's Roster (Not Clocked filter) — shows staff who have not clocked on the current day. Use this to quickly identify same-day missing clock-ins.
How do I export these reports from the roster?
- Open Roster in Alkimii People.
- Set the time period you want to review.
- Click Actions (top right) and select Export Reports.
- From the list, choose Clock Audit, Shift Audit, Lateness, or another relevant report, and export.
Why do roster-based reports and Clock Audit sometimes show different figures?
Roster-based reports (for example, Team Paid Hours) reflect the signed-off roster. Clock Audit reflects actual clock-in/out times. This means:
- If an employee works overtime but the shift is not amended on the roster, roster-based reports will still show the rostered hours, not the extra time worked.
- A discrepancy between a roster-based report and Clock Audit can indicate unrecorded or unpaid overtime.
- Amending a shift before payroll will update the roster-based figures. The exact impact on the roster depends on the type of shift amendment applied.
How do I find staff who didn't clock in on a given day?
Use Today's Roster with the Not Clocked filter.
How do I investigate pay variances?
Export the Shifts screen for the period you want to check, then compare rostered hours against actual clocked hours.
