Configure Offboarding with Alkimii

 

This feature is available with our People Pro Subscription and can be enabled on request. Please contact hello@alkimii.com along with your offboarding compliance items so we can set up the compliance dashboard for you. 

Step 1: Configure your Settings 

In Alkimii, you can configure and manage the reasons for an employee leaving your organisation. These reasons can be customised, allowing employees to select them in the leaver pack. You can also define whether a reason permits the transfer process. These are configured at an organisational level. 

  • Open the “App Settings” from the menu, and in the search bar, type “Leaving reasons”
  • Here you can add or edit the leaving reasons.
  • To “Add leaving reason”, click this prompt in the top right corner.
  • A pop-up will prompt you to enter the required name, this would be the reason. For example, “Better Job Offer”.
  • You can choose to make this leaving reason available for employees to select in the leaver pack by ticking the check box. If left unticked this will not appear in the list of options for the employee.
  • If this reason should allow for the transfer process, for example, internal transfer, make sure to tick the checkbox.

Step 2: Create Leaver Forms 

To set up a Leaver Pack within Alkimii, use the following steps:

  • Open HR Automation using the Menu, located in the top left corner of the screen.
  • Navigate to “Forms” from the banner along the top.
  • To create an exit interview form, select the type as “General”.
  • Build out the exit interview questions as needed. You can also include the option to upload the resignation letter. You can restrict this to sites in your organisation if needed and click save.
    • Now we need to build out the leaving reason form if you would like the employee to be able to select this.
    • Create a “Profile” form this time. From the drop-down menu, select “leaving reason”. Again you can restrict this per site if required and click Save.

    Step 3: Set up Leaver Packs 

    • Now navigate to “Packs” and click “Create pack” in the top right corner.
    • Add the title, for example, “ Exit Pack” and select the category as “Leaver Pack”.
    • Choose the sites and all relevant forms from the dropdown menus.
    • You can opt to “Auto Approve” these Packs if you wish.
    • Leave the 'Send Pack' checkbox unticked, as we are only setting this up for future use by your team.

    ⚠️ You can reorder the forms within the packs to prioritise the ones you want to appear first.
